PowerOffice Go
The PowerOffice Go integration connects Ditio to your PowerOffice Go accounting system so you don’t have to move payroll data by hand. Approved hours flow from Ditio to PowerOffice for payroll, and your PowerOffice projects flow into Ditio so field workers register against the same project structure your accountants use.
What it does
Section titled “What it does”| Capability | Direction | What happens |
|---|---|---|
| Payroll / hours export | Ditio → PowerOffice | Approved, locked hours are pushed to PowerOffice Go’s Salary Lines API, ready for a payroll run |
| Machine cost export | Ditio → PowerOffice | Optional, enabled by Ditio. Machine cost from Ditio is posted to PowerOffice as manual journal vouchers (a debit on the project and a matching counter-posting) |
| Project sync | PowerOffice → Ditio | Your PowerOffice projects — including sub-projects — are imported into Ditio; sub-projects become Ditio work orders. New projects start from your template project and new work orders from the project’s template work order |
| Reference data | PowerOffice → Ditio | Employees (matched by employee number) and accounting lookups (customers, GL accounts, VAT codes) are read from PowerOffice so data maps to the right place |
Before you start
Section titled “Before you start”- A PowerOffice Go account where you can create API access.
- The administrator role in Ditio.
- Your Ditio hours and payroll setup already in use (payroll types, employee numbers) — the export lines up against these.
Setting it up
Section titled “Setting it up”Setup happens partly in PowerOffice and partly in Ditio. The connection itself is switched on together with Ditio, because Ditio holds the keys securely — the rest you do yourself.
-
In PowerOffice: generate a client key. In PowerOffice Go, activate the Ditio integration and generate a client key for it. The client key gives Ditio access to your PowerOffice client (company) data.
You don’t create an application key or a subscription key. Those belong to Ditio’s own PowerOffice integration, and Ditio adds them.
-
Ditio enables the connection. Send the client key to Ditio and we switch the integration on for your company. (There is no key-entry screen in Ditio today — this one-time activation is done with Ditio.) Tell us at the same time whether you want the automatic project sync.
-
In Ditio: select PowerOffice Go for payroll. In Payroll Setup, set the Export format to PowerOffice Go. This turns on the live export of approved hours to PowerOffice’s Salary Lines API — a direct API sync, not a file you download and upload.
-
In Ditio: sync your projects. Open a project and choose Sync PowerOffice to import projects and sub-projects from PowerOffice. Run this whenever your PowerOffice project list changes.
After setup
Section titled “After setup”- Hours export follows your payroll export in Ditio. When you export payroll and lock the hours, the exported lines are queued, and Ditio pushes them to PowerOffice within about 10 minutes. Lines that PowerOffice rejects are retried automatically for up to seven days after the export.
- Project sync runs on demand: run Sync PowerOffice again when projects or sub-projects change in PowerOffice.
- Automatic project sync is optional and off until you ask for it. When Ditio turns it on for your company, your PowerOffice projects are synced twice a day, shortly after 05:00 and 11:00 UTC, so new projects reach Ditio without anyone running Sync PowerOffice. Ask [email protected] to turn it on or off.
- New employees and pay items added in PowerOffice can be pulled in to keep your mapping current.
Troubleshooting
Section titled “Troubleshooting”| Question | Answer |
|---|---|
| Hours aren’t appearing in PowerOffice | Hours are pushed only after they’re approved, exported and locked in Ditio, and the push can take about 10 minutes. Check the payroll period is closed. |
| A project isn’t in Ditio | Run Sync PowerOffice from a project again; only projects that exist in PowerOffice are imported. With automatic project sync on, it also arrives after the next sync at 05:00 or 11:00 UTC. |
| I can’t find where to enter the API keys | Keys aren’t entered in Ditio — the connection is activated with Ditio using the client key you generated in PowerOffice (step 2). |
| An employee’s hours are unmapped | Make sure the person’s employee number in Ditio matches PowerOffice, then re-sync reference data. |
